Competency Entry

The Competency Entry tool is used to create and maintain Competencies which can be added to Items. Competencies are a hierarchical (tree-like) set of values. Competencies are usually used to logically categorize Items. Competencies can then be used as a field value to filter Items to those linked to a specific Competency.

The Competency Entry tool is made up of a search filter (which allows the user to filter to specific competencies), a selection tree (for selecting, adding and expiring Competencies) and an edit panel for maintaining the selected competency. Click for more on Tree controls.

Authorised users may create, modify or expire Competency records. Note: you may not expire a Competency if it is in use (linked to an Item).

Competency Entry is reached from the Main Menu, Item Writing → Competency Entry

This takes the user to the Competency Entry tree.

Special Filters

The Competency tree has special filter controls in the title bar.

  • Include Expired Records by default is unchecked. This means Competency records that have an Expiry Date prior to today are not displayed. When checked, all Competency records (including expired) are displayed. Effective and Expiry Dates
  • Language Selector is used to display language specific fields for the Competency records. The Title, Description and Explanation fields for a Competency are language specific. Selecting a different language from the selector displays the alternate language values for these fields in the Competency tree.

Search Filter

The Competency filter consists of three radio buttons that control they type of search. Selecting Competency ID, Title or External ID makes the filter search for Competencies that have partial matched on the Competency ID, Title or External ID respectively.

A filtering search is done by:

  • Selecting the Search type using the radio buttons
  • Typing the text to be searched for in the Search box. Note: as you type, the Search box displays values to select from.
  • Clicking the search (magnifying glass) button.

Competency Tree

Left clicking a Competency node in the Competency tree will select that Competency. When selected the user can maintain the information about the Competency such as its Title, Description, Effective and Expiry dates in the edit panel to the right.

Expand a Node

To expand a Competency node in the tree to see its child competencies, click on the arrow next to the Competency node.

Edit Panel

The Competency Entry tool edit panel lets the user maintain the selected competencies information. The user can maintain the competencies Title, Description, Explanation, ExternalID, Effective Date and Expiry Date. When maintenance is complete click the Save button in the bottom right corner of the edit panel.

To maintain alternate languages of the Title, Description and Explanation fields, select the alternate language from the Language selector in the title bar.

Alternate Language Text

Both the Title and Description field are language specific. To maintain alternate languages of the Title and Description select the alternate language from the Language selector in the title bar. Make your changes and click the Save button.

Competency Fields

Field Description
Competency ID Will populate automatically when the Competency is created. Unique identifier of the Competency.
Title A short description of the Competency. This is a language specific field.
Description A longer description of the Competency. This is a language specific field.
Explanation Free form text field of detailed description of the competency.
External ID Used to track back to legacy systems or import data.
Effective Date By default, on most tools, only effective/non-expired records are available to be selected. Either to be edited or linked to another record. An effective record is a record with an Effective Date prior to today. By default, the Effective Date is set to the previous day on all newly created records.
Expiry Date By default, on most tools, only effective/non-expired records are available to be selected. Either to be edited or linked to another record. An expired record is a record with an Expiry Date prior to today. By default, the Expiry Date is set to December 31, 2100 on all newly created records.

Context Options

Right-clicking on a Competency node in the tree will open a context menu.

New Competency

New Competency will create a sibling Competency at the same level as the selected Competency. The user can then maintain the new Competency.

New Child Competency

New Child Competency will create a child Competency underneath the selected Competency. The user can then maintain the new child Competency.

Expire Competency

Expiring a Competency sets its Expiry Date to today. This means by default it will not show up in the Competency Entry tool (unless Include Expired Records is checked). It also means it will not show up in the Item Entry tool Competency selectors.

Expiring a Competency also Expires all the child Competencies underneath the Expired competency.

Audit

Navigates to the Audit grid for the selected record.

Usage

Navigates to the Usage grid for the selected record.
