Reference Entry

The Reference Entry tool is used to create and maintain References which can be added to Items. References are articles, books, magazines, web sites that the Item refers to as source material. References can be used as a field value to filter Items to those linked to a specific Reference.

Authorised users may create, modify or expire Reference records. Note: you may not expire an Reference if it is in use (linked to an Item).

Reference Entry is reached from the Main Menu, Item Writing → Reference Entry

This takes the user to the Reference Entry grid. For more on grid navigation, click here.

Special Filters

The Reference Entry grid has special filter controls in the title bar.

  • Include Expired Records by default is unchecked. This means Reference records that have an Expiry Date prior to today are not displayed. When checked, all Reference records (including expired) are displayed. Effective and Expiry Dates

Bulk Actions

The Reference grid has bulk actions. Bulk Actions refer to actions taken against a single or multiple selected records. To learn more about selecting records click here. If no records are selected when performing a bulk action, a warning message is displayed.

  • Update will apply the specified field changes to all selected records. See Bulk Update.
  • Expire will expire the selected records.
  • Copy will copy the selected record to another Bank. Note: Bulk Copy of References is not available on Banks with 1 depth level. See Banks and Bank Level and Bank Copy

Context Options

Right-clicking on a row in the Reference grid will open a context menu.

Edit General

Navigates to Reference Edit General page where the user can maintain general information for the Reference record.

Edit Notes and Custom

Navigates to Reference Edit Notes and Custom page where the user can maintain notes and custom information for the Reference record.

Audit

Navigates to the Audit grid for the selected record.

Usage

Navigates to the Usage grid for the selected record.
