The grid below is a list of all accepted data fields for an Item imported via Word or Excel. The Word Import template consists of a table with two columns. The left column is the field name, the right column is the field value. Each row in the table corresponds to a different field name/value combination. The Excel Import consists of a header row of Column names, and one row per Item.

Field Names

Any field name that is unknown (not in this list) will not import and will log an error message.

All of the field names are case insensitive. So, will accept “STATUS”, “Status”, “status”, “StATUs””, etc.

No field is required. You can import with any combination of fields from the grid. Any row can be imported or can be excluded from the table. So, you do not need to have the “Enabled”” field or the “Substatus” field to import. Including some fields may also require the inclusion of other fields (e.g. Status and Substatus).

The fields can appear in any sequence. You can set “Substatus” before “Status”.

Field Values

Most of the time, any field that has no value (blank cell) is ignored. Some fields will set the value to blank if left blank.. The Field List below will indicate the no value expected behavior for each field.

All text values for fields that are looking for a specific value text are case insensitive. So, will accept “ACTIVE”, “active”, “Active”,“AcTiVE”, etc. This applies to Status, Substatus, Enabled, ItemMustPass and Answer fields.

When validating IDs, like the fields GroupID, AuthorID, CompetencyID, CopyrightID, AttachmentID or ReferenceID, the ID must be a whole number, the ID must be setup in CE and must be in the selected Bank being imported to. So, if Author “25” exists in the “Help-Import” Bank and you are importing to “LiveData-Production” bank, then the Author “25” does not exist in “LiveData-Production” bank and an error logged.

Item Types

Multiple Choice Items

For Multiple Choice (MCQ) type Items (4 option, 5 option, true/false) , you do not require the OptionText5, OptionCorrect5 or OptionValue5 fields, unless creating a 5 option item. For 4 option Items, you can omit these fields.

None of the red rows apply to MCQ type Items. If importing MCQ type Items, all of these fields can be omitted.

Dichotomous MCQ

For Dichotomous MCQ Items, it is not required to bring across OptionCorrectn, OptionValuen fields. You can alternately bring across the OptionTextn for each Option and also bring across the Answer field. The Answer fieldwill set the Option Correct for one option only and set its value to 1.

For Dichotomous MCQ you can omit the green field rows.

Non-Dichotomous MCQ

For Non-dichotomous MCQ type Items, each Optionn should have its corresponding OptionCorrectn and OptionValuen rows set if you require more than one correct option and different point values for the Options.

For non-dichotomous MCQ you will want to include the green field rows.

Essay/Constructed Response/Rater Items

For non-mcq type Items you will want to include some or all of the red rows to set max values, default values and alternate scoring options for the human rated Essay/Constructed Response type Items.

Update Item vs Add Item

When including the ITEMID field, a valid ITEMID is mandatory and an update to the existing Item will be performed.

When excluding the ITEMID field, a new Item will be created.

Do not mix and match the inclusion/exclusion of the ITEMID field within different tables in the a Word document. Either all tables require the ITEMID field to be included or all tables require the ITEMID to be excluded.
